20 years of BaseBeyond – and we’re celebrating it: on an island, with sun, sea and the Spanish way of life. But most of all, we’re celebrating us as a team. Nearly 100 colleagues from many different countries have said yes and will come together in one place. That alone makes this moment truly special.

We work together every day across borders, time zones and screens. Now, for the first time, almost all of us will meet in person. Stepping away from the daily routine. No packed calendars, no to-do lists – just time for real conversations, shared experiences and connections that can’t happen online.

These three days are ours as a team. Time to celebrate, to exchange ideas and to grow closer together.

What we experience here will stay with us – strengthening the team spirit that defines BaseBeyond, long after the trip is over.

We’re truly looking forward to spending this time together with all of you.

Arriving earlier or leaving later?

YOU CAN EXTEND YOUR TRIP

There is the option to extend your trip by arriving earlier or flying home later. As already communicated, this is possible with prior approval from your manager (via a holiday request).

We will coordinate the flight booking with you accordingly. As long as the flight costs do not increase significantly, BaseBeyond will cover the flight. Any additional accommodation nights and extra luggage costs will be at your own expense. 

Please note: once the flights have been booked, no subsequent changes will be possible.

If you would like to make use of this option, please let us know by March 23 (inclusive) by emailing: 20years@basebeyond.com so we can proceed with planning.

General Information & Communication

Who is invited?

All active employees are invited – both those directly employed by BaseBeyond and those working through an EOR provider.
This includes apprentices and part-time staff, as well as retired colleagues who previously worked at BaseBeyond.
Contractors are not included in this event.

How can I register, update my details, or sign up as a new starter?

If you would like to update your registration status, register late, or are a new starter who wishes to join the event, please use the following link to register via the  form.

Which hotel will we stay at during the anniversary celebration?

We will be staying at the Hacienda Son Antem Resort in Mallorca. The stylish resort is located near Palma and offers a beautiful setting with Mediterranean flair – a wonderful place to celebrate our anniversary together.

How is my data handled when I register for the anniversary event?

The personal data collected through the online registration form will be used solely for planning and managing the anniversary event.
The form is hosted on a secure server located in Germany, and all data is transmitted in encrypted form in line with current security standards.

Submitted information is stored in the protected backend of our website and can only be accessed by authorized staff members. The data is then transferred to our secured SharePoint environment, where access is restricted exclusively to the event team.

We have a data processing agreement (DPA) in place with our website hosting provider.
Once the event has been completed and the data is no longer required, it will be deleted in accordance with our data protection guidelines.

No data will be shared with third parties beyond our contracted service provider within the scope of the DPA.

How can I get in touch with the event team?

Most information will be available here on this website in due time – feel free to check back regularly. You may also receive the occasional email from the event organization team, so please keep an eye on your inbox.

Am I officially on duty or in my free time during the event?

This is not an official business event – participation is voluntary and primarily recreational.

Can I bring my family along to the anniversary trip, at my own expense?

The event will take place in a public hotel, so the accommodation is not exclusively reserved for us. In principle, everyone is free to book additional rooms for their family for the same period, once the destination and hotel have been officially announced.
Please keep in mind, however, that this is primarily a company event with scheduled team activities and celebrations. The focus will be on spending time together as a group, which means that family members cannot join the official program.

Are there mandatory activities?

The program is designed to be easy-going and fun, with something for everyone.
We’d love for all employees to join both evening events and sign up for one of the Saturday activities.
Additionally, we’ll take team photos together on Sunday morning – your participation would be much appreciated.

Do I need to sign up for activities in advance?

Yes.
We’ll offer three different activity options for Saturday, so there’s something for everyone.
Registration will be required – a survey will be sent out in advance.

Will the event be photographed or filmed?

Yes – photo and video recordings will be taken during the event for internal use (e.g. intranet, newsletter, event recap) and possibly for external channels (e.g. website, social media).
If you prefer not to appear in any photos or videos, please inform us at 20years@basebeyond.com.

What if I have to cancel unexpectedly?

That would be a pity, but of course we understand.
Please contact the event team immediately so we can find a suitable solution: 20years@basebeyond.com.

Is there a prayer room?

A quiet room will be available at the venue for anyone who wishes to take a short break or pray. If you need access or have any questions, please contact us at:  20years@basebeyond.com

Travel, Visa & Logistics

How are travel arrangements organized?

BaseBeyond will book all flights for employees.
A collection service will be available at the destination airport for easier orientation, and onward transfers until departure are arranged.
Please organize your trip to and from your home airport yourself – ideally in groups.
Expenses (e.g. taxi or parking fees) will be reimbursed afterwards through the expense process.

How do I find my transfer driver at the airport?

A representative from the event agency will meet you at the airport exit. You’ll recognize them by a clearly visible BaseBeyond logo.

Are we traveling with hand luggage only?

All flights are booked with hand luggage (8 kg).
If you need to check in a suitcase, please contact 20years@basebeyond.com.

Can I arrive earlier or stay longer?

Please note that if you plan to extend your stay, the organization and booking of any additional accommodation will need to be arranged independently.

Are there any entry requirements?

Employees from the EU can enter with their national ID card; those from the UK need a valid passport.
There are no further requirements for these regions.
Employees living outside the EU or UK will need a visa – we’ll assist with the process.

Will I get help with the visa process?

Yes.
Employees living outside the EU or UK who require a visa will receive full support from us.
BaseBeyond will cover the visa costs.

Do I need to provide an emergency contact?

Not mandatory, but strongly recommended.
Ideally, please add your emergency contact in Personio so it’s accessible beyond this trip.

Is there an emergency contact or hotline during the trip?

Our event is organized and supported by a professional event agency.
A contact person from the agency will be available during all official activities and can be reached by phone in case of emergencies.
We’ll share the details closer to the event.

Work & Coverage during the event

How are working hours handled?

Each employee will be credited with their regular working hours for the travel day on Friday, September 18, regardless of individual travel duration.

No working hours will be recorded for Saturday and Sunday, as participation in the event is voluntary and not considered an official business activity.

If the return journey takes place on Monday, this will be reviewed and handled individually.

Special note for countries with a Friday/Saturday weekend (e.g. Saudi Arabia and Egypt)

For countries where the regular working week differs, the same principle applies accordingly.

Employees in these countries will be credited with their regular working hours for Sunday, as this is their regular working day – equivalent to the credit granted to other colleagues for Friday, September 18, regardless of individual travel duration.

No working hours will be recorded for Saturday, as participation in the event is voluntary and not considered an official business activity.

How will services be ensured on Friday?

The operational teams will coordinate in advance to define who needs to be on-site or available remotely.
Travel plans will be adjusted accordingly.
A temporary office may be set up at the destination for those who need to work remotely.

Do I need to bring my laptop?

Normally not.
Exceptions apply only to those providing remote support during the trip – your team lead will inform you if this applies to you.

Am I insured during the event?

All BaseBeyond employees are covered by the company’s accident insurance.
In addition, we will arrange extra travel and accident insurance for all participants through the event organizer.
You may also choose to take out your own private travel health insurance if you wish.

Accomodation, Costs & Daily Life

Are there single or double rooms?

Accommodation will be in twin rooms with separate beds for cost reasons.

In the participant questionnaire, you can indicate whether you are happy to share a room or prefer single use of a twin room. You may also name a preferred roommate. Please coordinate with each other in advance and select each other as preferred roommates.

If a single room is required for medical or other valid reasons, please contact 20years@basebeyond.com.

For single room use due to personal preference, a personal contribution of EUR 150 for two nights applies.

Will there be any costs for me?

BaseBeyond covers all costs related to the official event, including travel, transfers, accommodation (in twin rooms), meals, and on-site activities.
Personal expenses will only be reimbursed after prior approval.

What should I bring?

Besides your personal belongings, you’ll probably want to pack swimwear, a festive outfit, and some casual clothes.
And don’t forget your sunscreen and sunglasses!

What’s the dress code?

Dress according to the weather and event schedule.
From swimwear during the day to smart casual in the evening – you’ll likely need a few outfit options.
Most importantly, feel comfortable and have fun!

Do I need to bring towels?

No, towels are provided at the hotel.

Will dietary preferences or religious requirements (e.g. alcohol restrictions) be respected?

Absolutely!
