Three days of celebration, great conversations and unforgettable moments await us in Mallorca.
Our main activity will be a catamaran tour through some of the island’s most beautiful bays. Expect sunshine, sea views, swimming opportunities, party vibes and plenty of time with colleagues outside the usual work environment.
To finalize the programme, we still need your input. Whether you would like to join the catamaran experience or prefer to spend the day exploring Palma, enjoying the resort or simply unwinding by the pool – let us know your plans below.

Important InSURANCE Information
Please note that travel to and from the event, as well as the event itself, are not necessarily covered by the applicable statutory accident insurance provider.
For excursions and activities that are carried out by external providers or at booked locations, there is a basic level of coverage provided by those respective organizers. However, this coverage only applies to incidents that occur directly in connection with these specific, organized activities.
Please keep in mind that, despite careful planning, there is always a residual risk. In particular, illnesses, sudden health issues, or medical emergencies that arise during the trip are not covered by the event organizers or the activity providers.
We therefore strongly encourage all participants to independently check what their health insurance covers abroad and whether a travel or supplemental insurance might be advisable. Many insurers offer short‑term policies that can be purchased specifically for the duration of a trip. The decision to take out additional insurance is entirely the responsibility of each participant. We will not cover any costs for this.

All active employees are invited – both those directly employed by BaseBeyond and those working through an EOR provider.
This includes apprentices and part-time staff, as well as retired colleagues who previously worked at BaseBeyond.
Contractors are not included in this event.

We will be staying at the Hacienda Son Antem Resort in Mallorca. The stylish resort is located near Palma and offers a beautiful setting with Mediterranean flair – a wonderful place to celebrate our anniversary together.

The personal data collected through the online registration form will be used solely for planning and managing the anniversary event.
The form is hosted on a secure server located in Germany, and all data is transmitted in encrypted form in line with current security standards.
Submitted information is stored in the protected backend of our website and can only be accessed by authorized staff members. The data is then transferred to our secured SharePoint environment, where access is restricted exclusively to the event team.
We have a data processing agreement (DPA) in place with our website hosting provider.
Once the event has been completed and the data is no longer required, it will be deleted in accordance with our data protection guidelines.
No data will be shared with third parties beyond our contracted service provider within the scope of the DPA.

The event will take place in a public hotel, so the accommodation is not exclusively reserved for us. In principle, everyone is free to book additional rooms for their family for the same period, once the destination and hotel
have been officially announced.
Please keep in mind, however, that this is primarily a company event with scheduled team activities and celebrations. The focus will be on spending time together as a group, which means that family members cannot join the
official program.
The program is designed to be easy-going and fun, with something for everyone.
We’d love for all employees to join both evening events and sign up for a Saturday activity.
Additionally, we’ll take team photos together on Saturday evening – your participation would be much appreciated.
Yes – photo and video recordings will be taken during the event for internal use (e.g. intranet, newsletter, event recap) and possibly for external channels (e.g. website, social media).

Travel, Visa & Logistics
BaseBeyond will arrange and book all flights for employees.
To make your arrival as smooth as possible, a collection service will be available at the destination airport, and onward transfers will be organized throughout the event until departure.
Please organize your trip to and from your home airport yourself – ideally in groups.
Expenses (e.g. taxi or parking fees) will be reimbursed afterwards through the expense process.
You should have received an email with your flight details during the week of April 21st at your BaseBeyond email address. The email may come directly from the airline, Intertours, or Travelfusion and will contain all necessary information for check-in.
Please also check your spam or junk folder and keep the email safe for later use.
If you have not received your flight details, please contact the event planning team.
If you miss your flight, you will be responsible for covering the flight costs yourself.
A representative from the event agency will meet you at the airport exit. You’ll recognize them by a clearly visible BaseBeyond logo.
All flights are booked with hand luggage (8 kg).

Work & Coverage during the event
Each employee will be credited with their regular working hours for the travel day on Friday, September 18, regardless of individual travel duration.
No working hours will be recorded for Saturday and Sunday, as participation in the event is voluntary and not considered an official business activity.
If the return journey takes place on Monday, this will be reviewed and handled individually.
Special note for countries with a Friday/Saturday weekend (e.g. Saudi Arabia and Egypt)
For countries where the regular working week differs, the same principle applies accordingly.
Employees in these countries will be credited with their regular working hours for Sunday, as this is their regular working day – equivalent to the credit granted to other colleagues for Friday, September 18, regardless of individual travel duration.
No working hours will be recorded for Saturday, as participation in the event is voluntary and not considered an official business activity.
The operational teams will coordinate in advance to define who needs to be on-site or available remotely.
Travel plans will be adjusted accordingly.
A temporary office may be set up at the destination for those who need to work remotely.

Exceptions apply only to those providing remote support during the trip – your team lead will inform you if this applies to you.
Accomodation, Costs & Daily Life
Accommodation will be in twin rooms with separate beds for cost reasons.
In the participant questionnaire, you can indicate whether you are happy to share a room or prefer single use of a twin room. You may also name a preferred roommate. Please coordinate with each other in advance and select each other as preferred roommates.
If a single room is required for medical or other valid reasons, please contact 20years@basebeyond.com.
For single room use due to personal preference, a personal contribution of EUR 150 for two nights applies.
Please note: Due to limited room capacity, we cannot guarantee single use of a twin room for late registrations or new joiners. Changes from a previously selected shared room to single use are currently not possible.
BaseBeyond covers all costs related to the official event, including travel, transfers, accommodation (in twin rooms), meals, and on-site activities.
Personal expenses will only be reimbursed after prior approval.
Besides your personal belongings, you’ll probably want to pack swimwear, a festive outfit, and some casual clothes.
And don’t forget your sunscreen and sunglasses!
Dress according to the weather and event schedule.
From swimwear during the day to smart casual in the evening – you’ll likely need a few outfit options.

In addition to our shared evening events, we will enjoy a catamaran tour on Saturday midday as the main organized activity. Participation is optional.
If you prefer not to join the catamaran tour, you are welcome to plan your Saturday morning and afternoon independently. Possible options include:
- a self-organized trip to Palma,
- enjoying the hotel’s facilities such as golf, tennis, or padel,
- or relaxing in the pool and spa area.
Food and drinks at the hotel will be provided during this time. Please note that any additional paid activities outside of the catamaran tour are not included and should be covered individually.
